Key Set Import Rules

What information must be provided?

• Key Number: Must always be filled in.
• Address: Must always be filled in.
• The address must include the street number, street name, suburb, state, and postcode.
• The suburb must be separated from the rest of the address by a comma and a space (for example: "12 Smith St, Sydney NSW 2000").
• Date Borrowed and Due Back: Must be filled in if the key is currently on loan or has been returned.
• Staff Loan or Company: At least one of these must be filled in if the key is on loan or has been returned (this is used to identify who borrowed the key).
• Email and Mobile: These are optional, but can be included for more details about the borrower.

How is the key status decided?

• If either the "Date Borrowed" or "Due Back" is missing, the key is considered added (not yet loaned out).
• If both "Date Borrowed" and "Due Back" are filled in, and "Returned" is empty, the key is considered on loan.
• If "Returned" is filled in, the key is considered returned.

Other important points

• If the address does not follow the required format (including the suburb with a comma and space), the import will not work, and you will get an error.
• If both "Staff Loan" and "Company" are empty for a key that is on loan or returned, the import will not work, and you will get an error.
