Summary / Overview
Property Managers can now assign up to four team members to a property in Onlist, instead of being limited to three. This makes it easier to include both primary and secondary Property Managers, the Listing Agent, and a BDM where needed.
This change improves task visibility, notifications, and reporting for agencies with larger leasing teams.
Who this is for
- Primary audience: Property Managers using Onlist to manage listings and assign team members to properties.
- Also affected: Listing Agents and BDMs who need to be included on listings for visibility and notifications.
What changed
- The maximum number of assigned team members per property in Onlist has increased from 3 to 4.
- You can now support a common setup of 2 Property Managers + 1 Listing Agent + 1 BDM on a single property.
- When four team members are assigned, Onlist will:
- Show all four users in the assigned team members area.
- Continue to send notifications and provide access based on each person’s role.
- The limit is now managed internally via a single configuration point, so future adjustments (if needed) are low risk.
How it works / Steps
Use these steps to assign team members and see the new limit in action:
- Open the property in Onlist where you want to manage team members.
- Go to the team / assignment section (for example, "Onlist details" or "Access details", depending on your layout).
- Add your usual team members:
- Add your Listing Agent.
- Add your Property Manager(s).
- Add your BDM, if applicable.
- Continue adding users until you reach four assigned team members on the property.
- After four team members are assigned:
- The “Add another” option will no longer appear.
- If you attempt to add more, you’ll see a validation message such as "Maximum 4 assigned team members".
- Save your changes.
What you’ll notice
- Properties that previously couldn’t fit all relevant roles (for example, 2 PMs + 1 Listing Agent + 1 BDM) can now include everyone.
- All four assigned team members should receive the appropriate notifications and have access consistent with their role.
FAQs / Notes
Does this change affect existing properties?
No. Existing properties with 1–3 assigned team members are unchanged. You can optionally add a fourth team member where it makes sense.
Is there anything I need to do to enable this?
No configuration is required. Once the release is live, the new four-member limit is available automatically. If you don’t need four team members on a property, you can continue using fewer.
Which plans is this available on?
This behaviour is available on all plans.
Are there any performance or data impacts?
No database changes were required. The update is handled in the application layer and designed as an additive improvement, so it should not affect existing data.
What if I need more than four team members on a property?
At this stage, the limit is four per property to balance flexibility with clarity in responsibilities and notifications. If you routinely need more than four, please raise this with Support so we can capture the use case.
